The digital front desk log for university residences.
Residence desks run on student staff, late nights and a duty log that lives in a binder or a shared document. By morning, the residence life team is piecing together what happened from handwriting and group chats.
Shiftover gives the desk an AI agent. Staff type what happened in plain words, the agent turns it into a structured entry they confirm, and every shift ends with a report a supervisor approves.
Logged at residence desks
- Lockouts
- Noise complaints
- Guest sign-ins
- Welfare checks
- Maintenance
- Fire alarms
01 · The duty log
Every entry in one sentence, from whoever is on the desk.
A student types “Rm 607 lockout 1:20, let in after ID check” and the agent records the type, the room, the severity and whether anyone needs to follow up. Their original words stay beside the structured entry, and nothing is saved until they confirm it.
When an entry touches on a student's health or family, the agent suggests marking it restricted. Restricted entries are visible only to the author and supervisors.

02 · Procedures
The answer from your manual, at 3 a.m.
Student staff ask the agent what to do and get the steps from your own residence manual, with the section cited. If the manual doesn't cover it, the agent says so, gives the right contact for that situation and time of night, and logs the gap for a supervisor.
For a fire alarm, a medical emergency or a threat of self-harm, your official protocol and emergency contacts appear before anything the agent writes.
Ask the agent
From your manual
Student locked out with no ID. What do I do?
- Ask for their full name and room number.
- Confirm both against the resident list before opening the door.
- If you can't confirm them, don't open the room.
Call the on-call RA tonight: ext. 4410.

03 · Handover
Each shift starts with what's still open.
Residence desks change hands two or three times a night. The incoming staff member reads a handover brief before logging anything, and open items keep an owner and stay pinned on screen until someone closes them with a resolution note.
When two staff share the desk, each writes their own report and the brief combines them. Over a term, the dashboard shows your whole team which rooms keep coming up, which hours are busiest and which questions the manual couldn't answer.

04 · Privacy
Ready for your privacy office's review.
Universities fall under provincial public-sector privacy law, such as FIPPA in Ontario, and usually complete a privacy impact assessment before choosing a vendor. Shiftover is built for those requirements.
We'll walk your privacy and IT teams through our approach.
- All data, backups and logs are stored in Canada, encrypted in transit and at rest.
- Every staff member signs in with their own account, and roles control what each person can do.
- Restricted entries stay with the author and supervisors.
- Approved reports lock, and every edit, view and export is recorded.
- Your data is never used to train AI models.
- Each organization's data is kept separate from every other's.
Questions from residence teams.
Can student staff use Shiftover without a supervisor on site?
Yes. Every staff member signs in with their own account, logs in plain words and can ask the agent for the procedure from your manuals. Supervisors review and approve each report afterwards, and can do it from a phone browser.
How are entries about a student's health or family handled?
The agent suggests marking them restricted, and the author can do it themselves. Restricted entries are visible only to the author and supervisors, and the agent never uses them in answers to others.
Is Shiftover built for FIPPA?
It's designed for the requirements of Canadian public-sector privacy law such as FIPPA: data is stored in Canada, access follows each person's role, and every view and export is recorded. We'll walk your privacy office through our approach.
Bring Shiftover to your front desk.
During the pilot, Shiftover replaces your front desk log book for every shift, whether that's a paper binder, a Word file or an email chain. Past reports can be imported at setup.
